Workshop management with a WhatsApp assistant

Your workshop is closed. Your number isn't.

An assistant on your own WhatsApp number answers customers at any hour and records what they need. Job cards, estimates approved on the phone, VAT invoices and stock run the rest of the day, in Arabic and English.

The WrenchDesk dashboard: today's and this month's revenue, collections, expenses and open job cards
And the day itself, from one screen: today and this month, in your own currency and time zone.

A day in your workshop

From the first car at the gate to the customer coming back months later. These are the real screens, from the live demo.

  1. 7:45morning

    The car arrives

The job card opens at the counter: the customer, the car's mileage and fuel, the complaint, and the technician who has it. Photos and the customer's signature go on the condition report.

A job card: the customer, the car with its mileage and fuel level, the technician, and the complaint and diagnosis.
  2. 9:30morning

    The estimate

Sent on WhatsApp. The customer opens it on their phone, unticks what they don't want done, and approves. The approved lines land on the job; nobody retypes anything.

The customer's phone: an estimate with two lines to tick, the total with tax, and Approve and Decline buttons.
  3. 11:00midday

    The parts

Parts come off the shelf onto the job at their moving-average cost. Anything below its minimum shows up as low stock, and one click drafts the purchase orders, one per vendor.

The parts list filtered to low stock: brake discs, spark plugs and oil filters below their minimum.
  4. 14:00afternoon

    The floor

The board shows every car, where it is and who has it. Late jobs turn red before the customer calls, and technicians move their own cars along from their phones.

The workshop board: cars in columns from received to ready, with plates, technicians and how late each one is.
  5. 17:30closing

    The invoice

A tax invoice with your registration number, and the ZATCA QR code in Saudi Arabia. The PDF goes out on the same WhatsApp chat, and the payment is recorded against it.

A tax invoice with the workshop's TRN, the customer and car, labour and parts lines, 5% tax and the amount due.
  6. 23:04after closing

    After closing

The workshop is dark and a customer writes. The assistant answers in their language, records the car and the problem, and leaves it in the inbox for the morning. It promises no price and books nothing.

    The return

When the service falls due, the assistant writes to the customer from the job's own records, in their language. The reply lands in the same inbox, and the car comes back.

Al Noor Auto ServiceHi Omar, it's been six months since your Hyundai Tucson's brake service with us. It's due for a check and an oil change. Reply here and the team will find you a time.10:00 AM

The WhatsApp assistant

Your number answers at 11 pm, in the customer's own dialect

Link the workshop's WhatsApp number once. The assistant greets, asks what the car needs, records the customer, the car and the request, and stands down the moment one of your people types a reply. It promises nothing in your name: prices and bookings stay yours.

  • Records customers, cars and inquiries straight from the chat
  • Hands over the moment a person replies, and takes the thread back when asked
  • Sends the estimate for approval and the invoice PDF on the same thread
  • Arabic, English, and the dialect in between
The customer chat: the WhatsApp assistant answering a customer, the team taking over to book the visit, and the inquiry it recorded

What an unanswered message costs

Put in your own numbers. These are your estimates, not a claim of ours.

What a typical car brings in, parts and labour.

15%

Your guess. It moves the result the most.

You could be losing about

AED 1,040 a month

2.6 customers a month who went elsewhere, at AED 400 each.

The Starter plan is AED 179 a month.

The assistant answers and records the request at any hour. Winning the job is still up to your team.

Offers and follow-ups

The workshop writes first

A check-in after every job, a word when the service is due, a nudge on a request that went quiet, a note when the car is ready or a balance is open. Each message is written by the assistant from the records, in the customer's language — or skipped when there is nothing worth saying. Offers go to the customers you pick, paced so your number stays in good standing.

  • Rules you switch on once; a daily pass plans the messages
  • Campaigns to a filtered list: VIPs, a car make, a branch
  • Every reply lands in the same inbox your team already uses
Follow-ups: the messages the workshop sends after a job, when a service is due, or when a balance is open

Ask your garage

Ask your garage anything, in Arabic or English

Which technician brought in the most this month? Who owes us money, and since when? Which good customers haven't been back in six months? Type the question the way you'd ask your accountant. The answer comes from your own records, with a table or a chart, and it only reads: it never changes a record.

  • Sales, profit, jobs, customers, money owed, stock, staff and VAT
  • An answer in words, with a chart you can switch to a table
  • Ask from a customer's, a job's or an invoice's page about that one
  • Each answer uses one assistant credit from your plan
Ask your garage: the owner asks which technician brought in the most revenue in 30 days and gets the answer with a bar chart

Also in the box

Appointments and bays

A calendar per branch with its bays, reminders the day before, and the job opened from the visit when the car arrives.

Customers and fleets

Companies with the people to call, labels to filter by, a statement of account and an aging report.

Reports and commissions

Sales, profit, technicians, parts, branches and referral commissions, counted in the workshop's own time zone.

Branches, roles and the audit trail

Every branch from day one, five roles, two-factor sign-in, and a record of every change with who made it.

What your customer sees

Your customer follows the car and approves the price from their phone, without calling

Every job has its own link, sent on WhatsApp. It opens a page with your workshop's name on it, in the customer's language, with nothing to install.

  • Where the car is, step by step, and when it was promised
  • Photos from the workshop, and the condition report to sign with a finger
  • The estimate to approve or decline, line by line
  • Your address, and a call or a WhatsApp message in one tap
The customer's phone: the job's progress from received to collected, with the promised time.

Your data is yours

Export all of it any day. If you stop, the workspace stays readable for at least 90 days, and nothing is deleted before then.

Kept apart and locked

Each workshop is its own workspace. Two-factor sign-in, new devices that wait for your approval, and a record of every change with who made it.

See it with your own cars

Leave your number and someone from the team calls you back for a short walk-through, on WhatsApp or by phone. No obligation.

What owners ask first

All questions
Can WhatsApp ban my number?

It can happen, so WrenchDesk keeps the risk low. Your number links to WrenchDesk once, the same way you link a computer to WhatsApp, and answering customers who wrote to you first is ordinary use. What WhatsApp restricts is the same text sent to many people at once, so offers go out slowly: one message every three to five minutes, only between 9 am and 9 pm your time, only to the customers you pick, each with the customer's own name and car in it. Customers who asked for no offers are skipped, and a campaign stops itself after three failed sends in a row.

What if the internet goes down?

WrenchDesk runs online, so the screens need a connection to reach your records, and they say so when it drops. Everything you saved is kept on the servers, not on the computer, so a cut line or a dead PC loses nothing that was saved. The WhatsApp assistant runs on the servers too and keeps answering customers in the meantime. A phone on mobile data makes a good backup: the same workspace opens on it.

How long does it take to set up?

Creating the workspace takes a few minutes: the name, the address, your e-mail. You can start it with demo data to look around first. Then add your branches, staff and price list. Customers and parts come in from a CSV or Excel file, so you don't type them again.

Does it issue VAT invoices, and the ZATCA QR for Saudi Arabia?

Yes. Invoices carry your tax registration number and the customer's, and Saudi invoices carry ZATCA's phase-one QR code, on simplified and standard tax invoices. There is a VAT return report as well. Sending invoices to ZATCA's platform (phase two) is not offered yet.

What does the WhatsApp assistant do, and will it promise prices?

You link your workshop's own WhatsApp number once. The assistant answers customers at any hour in their language and dialect, records the customer, the car and what they need, and steps aside as soon as someone on your team replies. It never promises prices or bookings in your name; those stay with your team.

What if it isn't for me?

Stop before the trial ends and nothing is charged. If you paid for a year, the first yearly payment is refunded in full when you ask within 14 days (refund policy). Either way your data stays yours: export all of it any day, and after you stop the workspace stays readable for at least 90 days.
